Team usage guide

For directors and musicians. Only what you use daily. The technical setup is in the implementation guide.

1. How you get into the app

  • You join the church by invitation: you get an email and, when you accept, your user is created and you go straight into your church. (If you open the app without that link, log in with the same email: you'll see the invitation there.)
  • On your next login, just type your email and you'll get a 6-digit code by email to sign in.

2. Roles

  • Director: manages songs, services and the team (not the church setup).
  • Co-director: helps the director with everything musical —songs, services, each service's team, the schedule and instruments—, but doesn't manage people or settings.
  • Musician: views the songs and the services where they take part.
  • Event leader: it isn't a separate role ✗ — it's a musician (or director) assigned to one specific service ✓. Their role doesn't change ✗ (they're still a musician ✓) and they gain permissions ✓: they can create and edit the church's songs ✓ (not delete them ✗) and build that event's service ✓, as well as accept or decline the assignment ✓. It's part of the Initial plan ✓: each musician keeps their function in their profile ✓ and the director adjusts it in every service ✓. That applies while the event hasn't passed ✓: on the event day, all day long ✓; the next day they're back to a read-only musician ✗.

3. Songs (repertoire)

  • Search by title, artist or lyrics (type at least 3 letters).
  • Open a song to see chords, key, BPM and the lyrics.
  • You can change the key and switch between anglo (letters) and latin (Do-Re-Mi) notation.
  • From the song you can also open the musician view (full screen). It's explained in point 6.
  • Brand-new church? If you chose to sync with Holyrics when creating it, you go in with 6 example songs (tagged “Example”); if you chose not to, nothing is loaded and we offer it in the home (with its button or “Not now”), and in Songs. They don't count as your songbook and you delete them in one click with Delete examples.

3.b Bring your songs from Holyrics (no plan needed)

If your songs are already in Holyrics you don't have to retype them: they can be imported without installing anything and without paying for the plan.

  1. In Holyrics: menu Song → Export → Group export.
  2. Select what you want to bring over (Ctrl + A = all).
  3. Under Type choose JSON File and tick “single file”.
  4. Click Save and note where it is stored.
  5. In Eslyrio: Songs → Import and upload that file.

They come in with their title, artist, key, tempo and lyrics, and you edit them like any other. Bringing them over is free; the Holyrics plan (Basic or higher) is only needed to send to Holyrics what you build here.

4. Services

A service is one specific meeting, and it carries two things: its team and its songs, in order.

  1. In Services, the director taps New service and picks the event (From Holyrics, recommended: you pick the service and the name and date fill in by themselves) or Manual (app only).
  2. The service leader is set and the musicians taking part are added, with Save team.
  3. Each musician carries the role for that day ✓ — it doesn't have to be the one in their profile ✓ (that Sunday they play bass and usually sing ✓). At the top there's the filter by role ✓: if you choose Vocals and add someone, only Vocals gets marked ✓ and, if that person was already in the team, it's added to their row ✓ without duplicating them ✓. Adding without a filter brings what they marked in their profile ✓.
  4. The songs are added with Add song and dragged to order them ✓; they're saved with Save songs ✓. The team sees it instantly ✓.
  5. At the top, ‹ Services takes you back to the list without going through the menu ✓.
  • Asking for availability (Plus plan): in Team availability you ask the whole team for the month's dates in one go and see who hasn't answered. One email per person, with a reminder for whoever doesn't reply.
  • Archiving a musician deletes nothing: they stop counting for the team and keep their history and past lists. You restore them when they come back.

5. Roles and instruments

Roles are what can be played or sung in your church: Vocals, Piano, Acoustic guitar, Bass… plus the ones you add (Trumpet, Sound, YouTube sound…).

  • Who manages them: the Admin and the Director, in Roles and instruments (menu). There you add ✓, archive ✓ and restore ✓ them.
  • Archiving isn't deleting ✗: what was already set for a past service is still shown ✓; an archived role is simply no longer offered ✓.
  • The order rules ✓: with the ← → arrows you move each role, and that order is the one used by the schedule, the home card, the team and the profile ✓.
  • Vocals can't be archived ✗: it's the one that feeds “who sings” ✓.
  • Everyone marks their own in My profile → Your role in the team ✓. If someone comes in with nothing marked, the home asks them ✓ and keeps showing it until they fill it in ✓.

6. Musician view

  • Open the song and tap "Musician view" (full screen).
  • Use auto-scroll and text size.

7. Language

  • In your profile you can choose your preferred language (Español / English / Português).
  • The app and emails come in that language. You can change it anytime with the language switcher.
